Terms & Conditions

  • I will arrange an initial get together and advise on my availability, where we can then discuss, either in person, facetime, whatsapp video or Skype, in full all your ideas and plans which will allow me to get a better understanding and to develop  your personalised script

 

  • After initial inquiry and you are happy to engage me as your Celebrant we will confirm the venue, date and take a non-refundable 50% deposit to secure the day

  • I will leave you my questionnaire to complete, on completion of the booking form signed and returned this will form a Professional Agreement between us.   I will hold your requested date for 2 weeks.  Your information will give me the basis to draft an initial script.

  • On completion of the questionnaire i will start work on your script. I will email a copy for feedback and edit as appropriate as many time as necessary

​

  • I will confirm the order of service, wording of your vows etc and include any poems readings and names of anyone else involved​

 

  • All ceremonies are based around a 30-mile radius of Preston - Lancashire, anything above this 30 mile radius will incur a 45p per mile charge

​

  • If a rehearsal is required at the venue and is outside the 30-mile radius then travel costs as detailed above will be required

​

  • If an overnight stay is required or a venue is out of the country, then this cost will need to be agreed when a booking is made

​

  • A deposit of 50% per service is to be paid at the time of initial meeting to confirm date

​

  • I will always arrive up to one hour prior to the ceremony to ensure all arrangements are in place 

​

  

  • Payment in full is expected 14 days prior to your celebration, after which you will receive your final keepsake copy of the service.  This is usually after your ceremony and on the day.

 

Data protection policy - GDPR

The Data Protection Act 1998 describes how we as trilby.thecelebrant must collect, handle and store personal information.

This data protection policy ensures trilby.thecelebrant

  • complies with data protection law and follows good practice

  • Protects the rights of our staff

  • Is open about how it stores and processes individuals’ data

  • Protects itself from the risk of a data breach

The GDPR forms part of the data protection regime in the UK, together with the new Data Protection Act 2018 (DPA 2018). The main provisions of this apply, like the GDPR, from 25 May 2018.  This refers to the DPA 2018 where it is relevant includes links to relevant sections of the GDPR itself we intend this information to cover the key points.

Policy Scope

This policy applies to:

  • The registered office addresses

  • All staff and volunteers

  • Any contractors, suppliers and any other people working on behalf of trilby.thecelebrant

 

It applies to all data that the company holds relating to identifiable individuals, even if that information falls outside the Data Protection Act 1998.

Data Protection Risk

The company trilby.thecelebrant undertakes to ensure all possible risk is avoided and protected against as far as their protection allows.

When you make an inquiry by any means (phone, email, website or in person) we will use the following and will be retained to cover or obligations and/or as required by law.

  • First name

  • Last name

  • Email address

  • Contact number

  • Date of birth

  • Postal address

  • How you heard about us

Data Storage

​

These rules describe how and where data is safely stored.

When data is stored on paper, it must be kept in a secure place where unauthorised people cannot see it. 

This also applies to data stored electronically.

Paper copy must be in a locked cabinet and shredded when no longer required

Electronic data must be protected from unauthorised access accidental deletion and if a mass storage device is used it should be in a secure locked cabinet.

In all cases there must be strong passwords in use

Asking for consent

​

We will be asking for consent in the most appropriate way and will be separate from our terms and conditions.

We will be asking for people to positively ‘opt in’ and we will not be using any default consent or pre - ticked boxes. The language we will use will be in clear, plain language that is easy to understand, and we will specify why we want the data and what we’re going to do with it. We, at trilby.thecelebrant, will name our organisation and any third-party controllers who will be relying on the consent.  All individuals can withdraw their consent and to ensure their refusal is accepted without detriment.

Recording consent

​

We will keep a record of when and how we got consent from the individual and we will keep a record of exactly what they were told at the time.

Managing consent

​

We will regularly review consents to check that the relationship, the processing and the purposes have not changed. We will have processes in place to refresh consent at appropriate intervals.  We will consider using privacy dashboards or other preference-management tools as a matter of good practice.  We will make it easy for individuals to withdraw their consent at any time, and publicise how to do so, and will act on withdrawals of consent as soon as we can. We will not penalise individuals who wish to withdraw consent.

If you don’t wish to give us personal information

​

Under the terms and conditions, we may need to collect personal information about you. If you choose not to give us this personal information, it will prevent trilby.thecelebrant from being able to meet its obligations. It may also mean that we are unable to perform services required by your ceremony and may result in trilby.thecelebrant having to cancel your ceremony. Any data that is optional will be made clear at the time.  trilby.thecelebrant does not sell, rent or lease its customer lists to third parties.
